Privacy notice

How we collect, use and protect personal data — including exactly how site recording works, because we are asking you to trust the record.

Who we are

Multicom Datum is a property technology and trust platform operated by Multicom IT Solutions Limited, registered in Ghana. We record, timestamp and preserve evidence about construction projects so that the people paying for them can see what is happening.

What we collect, and why

If you hold an account — your name, email address, phone number, and the project or unit you are connected to. We need this to give you access to the right records and to contact you about them.

If you message us — on WhatsApp, Messenger or by email, we keep the conversation so we can answer you properly and pick up where we left off.

If you visit this website — basic technical information such as your IP address and browser. Analytics and advertising data are collected only if you agree to it. You can decline and the site works normally.

If you work on a site we monitor — our cameras and inspectors record construction activity, and people appear in some of that imagery. How we handle that is set out below.

How site recording works

We are specific about this because most companies are vague about it, and because we are asking you to trust what we record.

  • Cameras are pointed at the building and the site entrance — the structure, the deliveries, the work. Not at rest areas.
  • We do not use facial recognition, we do not identify individual workers, and we do not monitor anyone's productivity.
  • Most of the time we record only the fact of activity — how many people were on site and between what hours — not pictures of them.
  • Where people do appear in an image, faces and vehicle plates are permanently blurred after 30 days, automatically. Nobody has to ask.
  • We never record audio.

Where a dispute or investigation is active we may keep an unblurred image for longer, and we record that we have done so and why.

Our lawful basis

We rely on contract to provide accounts and services to buyers and developers; legitimate interests for site recording and for maintaining the evidence record, having assessed and documented the balance against the rights of those affected; consent for marketing, analytics and advertising, which you can withdraw at any time; and legal obligation for accounting and statutory records.

We deliberately do not rely on consent for recording construction sites, because consent given by someone at their place of work is rarely freely given, and because a record that can be withdrawn is not evidence.

How long we keep things

Construction records are meant to last. Someone may need to look at what happened during a build years afterwards, so findings, inspection reports and progress images are kept permanently. That permanence is the point of the service — and neither we nor a developer can delete them.

But personal information is not kept permanently. Identifiable images are blurred after 30 days. Enquiries are deleted two years after your last contact. Account information is kept while you hold an account and for a period afterwards in case of a dispute. Analytics data is kept for no more than fourteen months.

If you ask us to erase your data

We remove what identifies you. We do not delete the underlying construction record, because other people rely on it, and because allowing evidence to be deleted on request would make the entire platform worthless.

We record that a redaction has taken place and when — so the record stays honest about its own gaps, and erasure can never be used as a way to remove an inconvenient finding.

Who else sees your data

We use service providers for hosting, storage, messaging and analytics. They are contractually bound to protect your data and to act only on our instructions. Independent inspectors receive only what they need to carry out an inspection.

We do not sell your data to anyone, ever.

Some of our providers operate outside Ghana. Where your data is handled abroad, we make sure it is protected to the standard required by the law of your own country — the platform is operated to United Kingdom and European data protection standards throughout.

How we protect it

Data is encrypted in transit and at rest. Media is never publicly accessible and is served only through short-lived private links. Staff accounts require multi-factor authentication, access is limited to what each person needs, and every access to an evidence record is logged. Evidence is sealed with a cryptographic fingerprint and an independent timestamp when it arrives, so any later alteration is detectable.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to remove what identifies you, object to how we use it, or withdraw consent to marketing and analytics at any time.

If you are unhappy with our response, you can complain to Ghana's Data Protection Commission, or to the data protection authority in your own country if you live outside Ghana.

We use a small number of cookies that are necessary for the site to function. Analytics and advertising cookies are used only with your consent, and you can change your choice at any time using the cookie settings link on this site.

Changes to this notice

If we change this notice we will post the new version here with the date it took effect.
